1. HX Refer Friends & Family and Enjoy £200 Off Program
1.1 The HX Refer Friends & Family and Enjoy £200 Off Program (the "Program") allows eligible past HX guests to refer eligible new guests to HX and receive a referral reward.
1.2 Under the Program, an eligible Referrer and an eligible Referred Guest may each receive a £200 discount per eligible booking, regardless of the number of cabins included in that booking, subject to these Terms and Conditions.
1.3 Participation in the Program constitutes acceptance of these Terms and Conditions.
1.4 These Terms and Conditions are supplemental to, and form part of, the applicable HX General Terms and Conditions. Unless expressly stated otherwise, the HX General Terms and Conditions continue to apply.
2. Definitions
For the purposes of these Terms and Conditions:
Booking means a confirmed booking for an HX voyage.
Referrer means an individual who:
is at least 18 years old; and
has completed at least one HX voyage.
Referred Guest means an individual who:
has never previously travelled on an HX voyage;
has never previously held an HX booking; and
is referred by an eligible Referrer in accordance with these Terms and Conditions.
Referral Reward means a discount of £200 in respect of an eligible booking, regardless of the number of cabins included in that booking.
3. Eligibility
3.1 The Referrer must have completed at least one previous HX voyage prior to making the referral.
3.2 The Referred Guest must be a first-time HX guest and must not previously have:
travelled on an HX voyage;
held a confirmed booking with HX; or
received a referral reward under this Program.
3.3 Neither the Referrer nor the Referred Guest may be:
a current or former employee of HX;
a travel agent;
an employee or contractor of a travel agency;
travelling under industry rates, travel agent rates or any other reduced-industry fare.
3.4 The Referrer and Referred Guest must be different individuals and may not occupy the same cabin on the referred booking.
3.5 Referrals may only be made to genuine friends, family members or personal contacts known to the Referrer.
3.6 HX reserves the right to request evidence reasonably required to verify eligibility.
4. Making a Referral
4.1 To participate, the Referrer must complete the designated Referral Form.
4.2 By submitting a referral, the Referrer confirms that they are authorised to provide the Referred Guest's personal information to HX for the purposes of administering the Program and that they have informed the Referred Guest that HX will process their personal information in accordance with HX's Privacy Policy, which can be found here.
4.3 The Referrer must provide sufficient identifying information, including their HX Explorers number, previous booking reference and/or the email address associated with their HX account.
4.4 The Referred Guest must identify the Referrer and request application of the Program at the time of booking.
4.5 The Program is available only in respect of new bookings. The Referred Guest must request application of the Program at the time of booking. Referral Rewards cannot be applied retrospectively to existing, held or confirmed bookings.
4.6 A referral will only be deemed successful once:
the Referred Guest's booking has been confirmed; and
the required deposit has been paid in full.
5. Referred Guest Reward
5.1 Eligible Referred Guests will receive one Referral Reward in respect of their first eligible booking.
5.2 For the avoidance of doubt, only one Referral Reward may be applied in respect of an eligible booking, irrespective of the number of cabins included in the booking, the number of guests travelling under the booking or the occupancy of any cabin.
5.3 Where more than one Referred Guest travels under the same booking, the booking shall be entitled to only one Referral Reward.
5.4 The discount will be applied at the time of booking or as otherwise determined by HX.
5.5 A Referred Guest may only receive one Referral Reward.
5.6 The Referral Reward:
has no cash value;
is non-transferable;
is non-refundable; and
may not be exchanged for cash, credit or any alternative benefit.
6. Referrer Reward
6.1 Upon satisfaction of clause 4.6, the Referrer will become entitled to one Referral Reward for each successful referral.
6.2 For the avoidance of doubt, only one Referral Reward is earned in respect of each successful referred booking, regardless of the number of cabins included in that booking.
6.3 The Referrer's Referral Reward may be redeemed:
against an existing future booking that remains eligible under these Terms and Conditions; or
against a new booking made within twelve (12) months of the date the reward becomes available and which remains eligible under these Terms and Conditions.
6.4 A Referral Reward may only be applied to an eligible booking where an outstanding balance remains payable at the time the Referral Reward is redeemed. Referral Rewards cannot be applied retrospectively to fully paid bookings.
6.5 The Referrer must redeem the Referral Reward within twelve (12) months following payment of the Referred Guest's deposit, failing which the reward will expire automatically.
6.6 Referral Rewards must be used in full in a single booking and cannot be partially redeemed.
6.7 Referral Rewards have no cash value and cannot be refunded, transferred, sold or assigned.
7. Multiple Referrals
7.1 A Referrer may earn multiple Referral Rewards.
7.2 A maximum of three (3) Referral Rewards may be applied to any single booking.
7.3 Accordingly, the maximum discount available under the Program on any single booking is £600.
7.4 Any Referral Rewards exceeding the maximum that may be applied to a single booking may be redeemed on another eligible booking, provided the applicable redemption period has not expired.
8. Travel Agent Bookings
8.1 Bookings made through an authorised travel agent remain eligible for participation in the Program.
8.2 Travel agents, agency employees and agency contractors are not eligible to participate as either a Referrer or Referred Guest.
9. Exclusions
9.1 Referral Rewards may not be applied to:
group bookings;
charter bookings;
incentive bookings;
industry-rate bookings;
travel agent-rate bookings; or
any other category of booking designated by HX from time to time.
9.2 Referral Rewards may be combined with benefits available under the HX Explorers Loyalty Program but may not be combined with any other promotional offer, discount, special pricing arrangement or benefit unless expressly stated otherwise by HX.
9.3 Referral Rewards apply only to the Tour Code components (including voyage and local domestic flights) and do not apply to optional excursions, pre/post tours, insurance, additional hotel accommodation, transfers, international arrival and departure flights, arrival and departure packages and group bookings.
10. Cancellations and Adjustments
10.1 If the Referred Guest's booking is cancelled prior to departure and the referral no longer satisfies the requirements of the Program, the associated Referral Reward awarded to the Referrer may be cancelled by HX.
10.2 If a Referral Reward has already been redeemed by the Referrer and subsequently becomes invalid under clause 10.1, HX reserves the right to remove the discount and recover its value.
10.3 If the Referred Guest subsequently makes a new eligible booking, HX may, at its discretion, reinstate the Referral Reward.
10.4 If a Referred Guest's booking is amended, transferred, reduced in occupancy, or otherwise changed such that it no longer qualifies for the Program, HX may adjust, cancel or recover any associated Referral Reward.
10.5 If a booking to which a Referral Reward has been applied is cancelled, the Referral Reward shall not be reinstated or reissued except where required by law or expressly permitted by HX.
10.6 HX reserves the right to withhold, cancel or recover any Referral Reward where it reasonably suspects:
fraud;
abuse of the Program;
self-referral;
duplicate referrals;
misleading information; or
any breach of these Terms and Conditions.
11. General
11.1 HX reserves the right to amend, suspend or withdraw the Program at any time without prior notice.
11.2 Any amendment, suspension or withdrawal will not affect Referral Rewards already validly earned prior to the effective date of the change unless required to prevent fraud, abuse or legal non-compliance.
11.3 HX may reject referrals involving individuals residing at the same residential address as a previously referred guest.
11.4 Where more than one Referrer claims to have referred the same individual, HX shall determine, in its sole discretion, which referral (if any) is valid.
11.5 HX reserves the right to correct any administrative, technical or pricing errors.
11.6 The Program is subject to availability and all applicable laws and regulations.
11.7 Personal information collected and processed in connection with the Program will be handled in accordance with HX's Privacy Policy, which can be found here.
11.8 HX reserves the right to determine eligibility for the Program, the validity of any referral and entitlement to any Referral Reward in its sole discretion.
11.9 Any decision made by HX in connection with the Program shall be final.
